Hey,
In a 2021 training I told a room of new hosts what happens when a neighbor calls about noise and yours is the short-term rental on the street. You're the first suspect. My words that day were, "You will be guilty by default."
Noise is one version of it. A refund request is another. Say a guest messages on day two that the place wasn't clean, or checks out and leaves a sofa bed that won't fold. Either way, money is about to move, and the question becomes what you can show.
If you don't host yet, this is the part nobody puts in the highlight reel. The cleaner is paid, the rent on the unit is still due on the first, and a refund request lands in your inbox.
If refund requests and guest disputes keep eating into your payouts, bring your last few months to a complimentary one-on-one diagnostic call. We look at your real numbers, name the biggest gap, and you leave with one specific next step.
I've spent 18+ years in real estate, focused on short-term rentals since 2016, and built a list of more than 10,000 short-term rental operators through CashFlowDiary. The way I teach disputes starts weeks before the dispute.

Where refund requests get decided
Airbnb's Resolution Center is where hosts and guests ask each other for money after a stay. About 4,400 people a month search Google for it by name.2 Airbnb's own Help Center rules come back to evidence at almost every step.1
A guest who finds a problem has 72 hours from finding it to report it. Airbnb says the request should be backed by photos, videos or the host confirming the conditions, and the refund depends partly on "the strength of evidence provided."
A host whose place was damaged has 14 days from the guest's checkout to file a reimbursement request in the Resolution Center. The guest gets 24 hours to respond. If they decline, pay part of it or don't answer, the host can ask for Host damage protection and Airbnb Support reviews it. Airbnb's first listed step is to document the damage with photos or videos, repair or cleaning estimates, and receipts.
Most other money requests can be opened up to 60 days after checkout.
Both sides get asked for proof. The side without it is arguing from memory.
The stay with no file
A host ends up arguing from memory like this. The before photos live on the cleaner's phone, if they were taken. The late checkout was agreed on a phone call. The lamp came from a store two years ago and the receipt is gone. Then the request shows up, and the host starts collecting proof after the problem, when most of it can't be collected anymore.
These five habits cover most of it.
Photos at every turnover, after the clean. Same rooms, same angles, every time, so the before and after line up. Keep them in one shared album sorted by date, off the cleaner's personal phone.
Keep every message on Airbnb. Airbnb says keeping conversations in its messaging gives its support team "a clear record of what was discussed." If a guest calls you, send a short message afterward that sums up what you agreed.
Put the rules where the guest agrees to them. Guest count, quiet hours and check-out time belong in the listing's house rules. A rule that only lives in your head can't be pointed to.
Save receipts the day you buy. Furniture, linens, the deep-clean invoice. A damage request asks for receipts or estimates, and you have 14 days to find them.
Use a noise monitor, and say so in the listing. Airbnb allows noise decibel monitors and outside cameras if you disclose them. It bans cameras and recording devices anywhere inside the home.
That last one is the device I was showing in that 2021 training. It doesn't record. It logs how loud it was and when. In that training I gave the reason this way:
"Part of safe, it has to do with knowing what is happening and when it happened, and then having documentation that it happened."
- J. Massey, "What are the first steps" training, 2021
💡 Start each stay's file at check-in. Once a complaint arrives, the photos you didn't take can't be taken.
After every dispute, write it down
Win or lose, a refund request tells you something about your system. In a 2024 masterclass I borrowed a habit from the military for this:
"Part of the repeat is what they call an AAR, after action report... you want to begin to analyze the business, what went well, what didn't go well, what should we get rid of, what should we keep."
- J. Massey, STR masterclass, 2024
Take ten minutes after the request closes. What was missing from the file? Add that step to the turnover checklist so the next stay has it.
The file for your next stay
Before check-in. Photos of every room after the clean, saved to one album by date.
During the stay. Every agreement in Airbnb messages, including a short summary of any phone call.
After checkout. Walk it within a day and photograph anything off. If something is damaged, file within 14 days with photos and a receipt or estimate.

Back to the noise call
The hosts in that 2021 room heard me say they'd be guilty by default. With the log, a host can show the noise came from somewhere else, or see that a party did happen and deal with it. A refund request works the same way. The photos, the messages and the receipts either back you up or show you what to fix next time.
If you'd like a second set of eyes on where your rental is losing money, refunds included, book the complimentary diagnostic call with the button at the top or the link below.

P.S. If someone you know hosts and keeps getting refund requests, forward this to them. If someone forwarded it to you, subscribe here so the next one comes straight to you. And when you're ready to look at your own numbers, book your complimentary diagnostic call. It's 25 minutes with me.
This is education, not legal, financial or tax advice. Airbnb's policies change, so check its Help Center for the current terms before you file anything. Rental income varies, takes work and capital or a landlord's approval, and is never guaranteed. Check your city, county, HOA and lease rules before you host.
